Maxfliz is a leader in the home furnishings and design industry, present in the market for many years. The company has built a strong brand by offering customers high-quality products, inspiring showrooms and comprehensive space design advice. As Maxfliz continues to grow, it has decided to strengthen its customer service team to meet the growing number of inquiries and to provide an even higher standard of customer contact.

The role to be filled was that of Customer Service Specialist - a key position from the perspective of building the brand's first impression and nurturing the shopping experience of premium customers.

Challenge

The recruitment process was not an easy task. Maxfliz needed a person who combines several qualities:

  • Experience in serving demanding customers,

  • Premium product sales skills,

  • high personal culture,

  • cooperative attitude and openness to learning the offerings from the interior design industry.

The difficulty was that many of the candidates available on the market had short work experience, and the retail sector is characterized by high employee turnover. In addition, the expectations for a new employee included not only sales competence, but also cultural fit - in line with Maxfliz's values of design, quality and customer partnership.

Recruitment process

Fast Forward Solutions used a proprietary recruitment methodology that combined direct search and head hunting with the use of AI (including Loxo AI). This made it possible to quickly analyze the market and reach candidate profiles that might have been overlooked in a traditional approach.

The process was as follows:

  • Within the first few days, we mapped the market and created a funnel of 354 candidates,

  • After a detailed selection and interviews, we prepared a shortlist,

  • Just 3 weeks after the start of the project, we presented 5 final candidates to the client.

Our advantage in this project was working directly with business decision makers on the client side. As a result, we avoided the lengthy procedures typical of HR departments and were able to operate with greater speed and flexibility.

Solution

In the end, Maxfliz decided to hire two female candidates who fully met the company's expectations and matched the organizational culture.

  • The first candidate - a specialist with experience in the premium fashion industry. She stood out for her high personal culture, knowledge of CRM systems and ability to build relationships with demanding clients. Her motivation to grow in a stable and inspiring environment made her a perfect fit with Maxfliz's values.

  • The second candidate - young, ambitious with two years of experience in customer service in the retail and fashion sector. She brings to the team strong commitment, practical sales skills, high availability and readiness to learn the offerings in the home furnishings area. Her practical experience in teamwork and consistency in achieving KPIs provide a solid foundation for further development at Maxfliz.

The two candidates have been hired in the Wroclaw and Katowice showrooms, respectively, allowing the company to strengthen two key branches in parallel.

Summary and Conclusions

Recruiting for Maxfliz has confirmed that by combining head hunting, AI tools and working closely with business decision makers, it is possible to significantly reduce hiring time while ensuring the quality of the candidate match.

This project also shows that the best candidates do not always come from the same industry. In this case, a person with a background in premium customer service in the fashion segment excelled in a challenging role serving customers interested in products in the design and home furnishings area.
